Glossary: the words of pipeline hygiene

What each term means, with a concrete example and how it is calculated. Including the three we made up ourselves, marked as such.

Every definition on this page comes with an example. A definition without one gets read, nodded at and not understood, and that happens a lot here because most of these terms sound like each other.

An honesty note before we start: three of these are not industry terms, they are ours. They are marked. Slipping our own vocabulary in as if it were standard seemed worse.

Pipeline hygiene

How closely what your CRM says about a client matches what has actually happened with that client.

Not a tidy CRM. A CRM with every field filled in and every stage consistent can be completely wrong, if three of its deals have been dead for a month and nobody logged it.

Example. The record says "Negotiation, closing 30 September, last activity 4 days ago". The reality is the client said no by email three weeks ago, and the note from 4 days ago was a rep summarising an internal call.

Activity Leakage Rate

Our term.

What percentage of the real conversation with your clients never reached the CRM.

Calculated by cross-checking the headers of your team's email and calendar against what is logged on each record, and keeping the difference.

Example. Your team exchanged 400 emails with clients last month. The records hold 90. The rate is 77%.

Why your CRM cannot calculate it. Because it logs activity from the contacts that exist in it, so it has nothing to compare itself against. We measured a freshly created HubSpot portal and out of the box the rate was 100%: not one email was logged.

Invisible relationships

Our term.

Companies your team exchanges email with in both directions, several times and over weeks, that are not in the CRM. Not as a client, not as a contact, not as an opportunity.

Example. Three people at your company have spent six weeks emailing somebody at a construction firm. There is a quote involved. That company does not exist in the CRM, so it is not in the forecast, not on any list, and officially nobody owns it.

Why it matters. It is the only thing on this page a CRM cannot find with even the best configuration in the world. Seeing it means looking at the mailbox, not the database.

Forgotten leads

Our term.

The opposite of invisible relationships. Companies the CRM does have, marked as leads, that email is still being exchanged with, and for which nobody has opened an opportunity.

Example. Somebody created a company as a lead in March. There have been four email conversations since. There is not a single associated deal. Nobody closed it as lost and nobody opened it as an opportunity: it simply stayed there.

How to see it yourself. It is a filter: companies with lifecycle stage Lead and zero associated deals. It comes out noisy, because suppliers and old imports land in it, and what separates a finding from a supplier list is whether there is a real conversation behind it.

Revenue Blind Spot Audit

Our term.

A report that measures the three things above at one specific company and delivers them with names, dates and amounts, so they can be checked against that company's own CRM and its own inbox.

What it is. €750, report in 72 hours, refunded if it does not find three things you did not know.

What it is not. A subscription. It is a one-off measurement, and if it comes back clean, you do not have this problem.

And three industry terms, so as not to confuse them

Revenue intelligence. The software category that analyses sales activity to produce forecasting and conversation analysis. Its reference products are Clari and Gong. What it does and what it costs.

Activity capture. The specific function of automatically logging emails and meetings into the CRM. Part of the above, and the one that solves the problem at the root when it works.

Last activity. The field every CRM ships, and the most misread of all. It means when something was last logged on this record, not when the deal moved. Confusing the two is the mistake that makes a stalled-deal alert measure the wrong thing.
